Plain rules for cancellations, refunds, and credits. We dont hide behind fine print. If something went wrong on our end, we want to make it right.

Section 1

Introduction

This Refund Policy applies to all purchases made through KleioBase, operated by Itamar Denkberg, a sole proprietor based in Israel. Payments are processed by Freemius, which acts as the Merchant of Record for all KleioBase transactions.

This policy should be read together with our Terms of Service and Privacy Policy. Capitalized terms used but not defined here have the meanings given to them in the Terms of Service.

Section 2

Subscription cancellation

You may cancel your subscription at any time from your account settings (Settings Billing). Cancellation takes effect at the end of your current billing period - you retain full access to your paid features until then.

After the billing period ends, your account reverts to the Explorer (free) tier. If you are a Founder, your account reverts to the Researcher tier instead (see Section 5).

Cancellation does not automatically trigger a refund. See the sections below for refund eligibility.

Section 3

Monthly subscriptions

Monthly subscriptions are generally non-refundable. Because you can cancel at any time and retain access through the end of your billing period, partial-month refunds are not provided.

Exception: If you experience a significant, unresolved service outage or technical issue that prevents you from using the Service for a substantial portion of your billing period, contact us at [email protected] and we will review your case. We may issue a full or partial refund at our discretion.

Nothing in this section limits any statutory cooling-off right you may have under your local consumer law (see Sections 1419).

Section 4

Annual subscriptions

Annual subscriptions are eligible for a prorated refund within the first 14 days of the subscription start date or renewal date.

  • If you request a refund within 14 days, you will receive a prorated refund for the unused portion of your annual term.
  • After 14 days, annual subscriptions are non-refundable for the remainder of the term. You may still cancel, and your access will continue until the end of the annual period.

To request a refund for an annual subscription, contact us at [email protected] within 14 days of your purchase or renewal.

Section 5

Founders Lifetime deal

The Founders Lifetime subscription is a one-time purchase of $199 that provides permanent Researcher-tier access. Founders who later upgrade to Archivist or Professional also receive grandfathered discounted pricing, as described on our Pricing page.

  • Within 14 days of purchase: You may request a full refund. Upon refund, your Founder status and Researcher-tier access will be revoked, and your account will revert to the Explorer (free) tier. Any grandfathered Archivist or Professional subscription minted at the Founder rate will also be cancelled.
  • After 14 days: The Founders Lifetime deal is non-refundable. This is a one-time purchase for a perpetual service, not a recurring subscription.

Section 6

Pay-as-you-go upload credits

Pay-as-you-go upload credits (PAYG credits) are non-refundable once purchased. Credits do not expire and carry over indefinitely between billing periods.

6.1 Failed AI processing

If AI processing fails on a document you uploaded and a credit is consumed without producing usable results, contact us at [email protected] with the date of the upload and a short description of the failure. We will restore the consumed credit to your account at no charge.

6.2 Account deletion

If you delete your account, any unused PAYG credits are forfeited and cannot be refunded or transferred. We recommend using or exporting your data before requesting account deletion.

Section 7

Plan changes (upgrades and downgrades)

When you change plans:

  • Upgrades take effect immediately and are prorated: you pay only the difference for the remainder of your current billing period.
  • Downgrades take effect at the start of your next billing period. No partial refund is issued for the current period.
  • If your existing content exceeds the lower tiers limits after a downgrade, your existing data is preserved and remains readable, but write operations that would create new content above the cap are paused until your counts return below the limit or you upgrade again (see Section 8.6 of the Terms of Service).

Plan changes are processed through the Freemius checkout system using your existing license key to ensure correct proration.

Section 8

Automatic renewal

Paid subscriptions (monthly and annual) renew automatically at the end of each billing period unless you cancel before the renewal date. You will be charged at the then-current rate for your plan.

We will notify you by email before any renewal at a higher price than your current rate. You may cancel at any time before the renewal date to avoid being charged for the next period.

Where required by local law (for example, the California Automatic Renewal Law, the EU Directive 2011/83/EU on Consumer Rights as amended, or the UK Consumer Contracts Regulations 2013), additional disclosures and notice periods apply and are summarized in the country-specific sections below.

Section 9

Currency, taxes, and refund method

9.1 Currency

Prices are quoted and charged in US dollars (USD) by default. Where Freemius offers a localized currency at checkout, refunds are issued in the same currency that was charged at purchase. Any difference caused by exchange-rate fluctuations between the purchase date and the refund date is not refundable.

9.2 Taxes (VAT, GST, sales tax)

As Merchant of Record, Freemius collects and remits applicable VAT, GST, and sales tax on transactions where required. When a refund is approved, the associated taxes are refunded to you together with the principal in accordance with Freemiuss tax-refund procedures and applicable tax law. We are not able to refund taxes separately from the underlying transaction.

9.3 Refund method and timing

Approved refunds are issued to the original payment method used for the purchase. We cannot redirect refunds to a different card, bank account, or payment provider. Approved refunds are processed through Freemius and typically appear on your statement within 510 business days, depending on your payment provider and country.

Section 10

Chargebacks

If you believe a charge is incorrect, please contact us first at [email protected]. We can usually resolve billing issues faster than a formal chargeback process.

Initiating a chargeback without first contacting us, or initiating a chargeback after receiving a refund, may result in:

  • Immediate suspension of your account pending review;
  • Forfeiture of any unused PAYG credits;
  • Permanent termination of your account if the chargeback is determined to be unjustified.

Nothing in this section limits your right to initiate a chargeback through your bank or card network where you genuinely dispute a charge.

Section 11

Billing disputes

If you believe you have been charged incorrectly, please contact us at [email protected]. We will investigate and resolve the issue promptly.

You may also raise billing disputes directly with Freemius, as they are the Merchant of Record. Freemius handles chargebacks and payment disputes in accordance with their own policies and applicable payment-network rules. See the Freemius terms of service for details.

We recommend contacting us first, as we can often resolve issues faster than the formal dispute process.

Section 12

Abusive and fraudulent requests

We reserve the right to refuse a refund request that we determine, in our reasonable judgment, to be manifestly abusive or fraudulent. Examples include:

  • Refund requests made after substantial use of the Service in a manner clearly designed to consume value before cancelling;
  • Repeated subscribe-and-refund patterns across multiple accounts;
  • Requests supported by knowingly false or misleading statements;
  • Requests submitted in connection with a violation of the Terms of Service, including bypassing rate limits, abuse-detection systems, or upload restrictions.

Suspected abusive refund activity may result in account suspension or termination in addition to refund denial. Nothing in this section limits your statutory consumer rights.

Section 13

How to request a refund

To request a refund, email [email protected] with:

  • Your account email address;
  • The date of the charge;
  • The Freemius receipt or invoice number, if you have it; and
  • The reason for your refund request.

We aim to respond to all refund requests within 5 business days. Approved refunds are processed through Freemius and typically appear on your statement within 510 business days, depending on your payment provider (see Section 9).

Section 14

EU and EEA consumer rights

If you are a consumer in the European Union or European Economic Area, you have a statutory right to withdraw from a digital service purchase within 14 days of the transaction (the cooling-off period) under the EU Consumer Rights Directive (Directive 2011/83/EU as amended by Directive (EU) 2019/2161).

By subscribing to KleioBase and beginning to use the Service immediately, you acknowledge that you are requesting immediate access to the Service. You retain your right to withdraw within 14 days; if you do, any refund will be adjusted proportionally to reflect the extent of the Service you have already used during that period.

Nothing in this Refund Policy limits or excludes mandatory consumer protections available under the law of your country of residence.

Section 15

UK consumer rights

If you are a consumer in the United Kingdom, you have similar statutory cancellation rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and the Consumer Rights Act 2015. The 14-day cooling-off period and proportional refund rules described in Section 14 apply equally.

For digital content supplied immediately at your request, you lose the right of withdrawal only after the content has been fully supplied and you have acknowledged that the right of withdrawal will be lost upon supplyotherwise the 14-day right continues to apply.

Section 16

Israeli consumer rights

If you are a consumer in Israel, you have a right to cancel a distance transaction within 14 days of the transaction date under the Consumer Protection Law 5741-1981 (in particular Section 14G governing distance transactions in services). For digital services where performance begins immediately, any refund will be adjusted to reflect the portion of the Service already provided. Cancellation fees, if applicable, will not exceed the amounts permitted under Israeli law.

Section 17

Australian consumer rights

If you are a consumer in Australia, nothing in this Refund Policy limits or excludes the consumer guarantees provided under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010).

If our Service fails to meet a consumer guarantee and the failure is major, you are entitled to cancel and receive a refund for the unused portion. If the failure is not major, we will remedy the issue within a reasonable time. These rights apply regardless of any other terms in this policy.

Section 18

New Zealand consumer rights

If you are a consumer in New Zealand, nothing in this Refund Policy limits or excludes your rights under the Consumer Guarantees Act 1993. If the Service fails to meet a consumer guarantee, you may be entitled to a remedy including a refund, regardless of any other terms in this policy.

Section 19

Canadian consumer rights

If you are a consumer in Canada, your provincial consumer protection legislation may provide additional cancellation and refund rights for internet agreements, including cooling-off periods (for example, the Ontario Consumer Protection Act, 2002; the Quebec Consumer Protection Act; and the British Columbia Business Practices and Consumer Protection Act). Nothing in this Refund Policy limits or overrides those statutory rights.

Section 20

California automatic renewal disclosure

If you are a consumer in California, the following applies under the California Automatic Renewal Law (Cal. Bus. & Prof. Code §§ 1760017606):

  • Your subscription will renew automatically at the end of each billing period at the then-current rate unless you cancel.
  • You may cancel your subscription at any time through your account settings (Settings Billing) or by contacting [email protected].
  • You will receive confirmation of your subscription terms, including the automatic renewal provision and cancellation procedure, at the time of purchase.

California users may also rely on the consumer-rights notice provided in Section 19.5 of our Terms of Service (California Civil Code § 1789.3).

Section 21

Changes to this policy

We may update this Refund Policy from time to time. When we make material changes that affect your rights:

  • We will update the Last updated date at the top of the page;
  • We will notify you by email or through a prominent notice on the website; and
  • Where required, we will give you at least 30 days notice before the changes take effect.

Changes do not apply retroactively to purchases made before the effective date of the change. Refund eligibility for a given purchase is determined by the policy in force at the time of that purchase.
